Introduction

Protecting your privacy and the confidentiality of your information through our office—has always been fundamental to the way we do business at the Wainwright & District Chamber of Commerce. We operate on the basis of a Privacy Policy and related procedures that guide the handling of the personal information we collect. We have created this privacy statement in order to demonstrate our firm commitment to protecting the privacy of our members, partners and potential Web site visitors. This policy and related procedures are consistent with the Canadian Standards Association Model Code for the Protection of Personal Information (herein "CSA Model Code") and applicable privacy legislation.

Privacy Statement

This policy deals only with personal information handled by the Wainwright & District Chamber of Commerce. Personal information is information about an identifiable individual, excluding business contact information. The following explains how the Wainwright & District Chamber of Commerce handles personal information. The Wainwright & District Chamber of Commerce reserves the right to change this policy and it may be updated periodically. These changes may affect our use of your personal information. Accordingly, please check for changes regularly.

Accountability

The Wainwright & District Chamber of Commerce is accountable for all personal information under its control. Our employees play an important role in protecting personal information. Our employees are required to adhere to this policy and take all reasonable steps to ensure that personal information is protected from unauthorized access. The Wainwright & District Chamber of Commerce’s privacy officer is the Executive Director who is designated as responsible for the Wainwright & District Chamber of Commerce’s privacy policy.

Collection, use and disclosure of personal information

The Wainwright & District Chamber of Commerce does not collect personal information of individuals for commercial purposes. The contact information that the Wainwright & District Chamber of Commerce has access to falls into a number of categories including the following: membership, program provider lists, events, and human resources including executive committee members, staff/contract employees and prospects (résumés). The contact information collected by the Wainwright & District Chamber of Commerce is business contact information, with the exception of human resource information.

All Wainwright & District Chamber of Commerce contact information is kept electronically, with a printed copy to provide as back-up should something happen to the Wainwright & District Chamber of Commerce database. All staff information is locked in the office of the Executive Director.

The information collected on members is collected for the purpose of providing value in terms of newsletters, information on advocacy initiatives, information on upcoming events and general information that may be of interest to our membership. The information collected on members is generally information that would be found on an individual’s business card including the following: name, title, organization/company name, mailing and physical address, telephone number, facsimile number, pager or cellular phone number, e-mail address and website address.

The only exception to this would be if a member provides another method that they prefer to have the Wainwright & District Chamber of Commerce be in contact with them. For example, a member who provides a personal mailing, e-mail or telephone/fax number.

Events

In addition to providing information on events to the Wainwright & District Chamber of Commerce membership, the Wainwright & District Chamber of Commerce will at times target other non-member organizations and/or corporations for attendance and/or sponsorship of its events. As such, the same contact information as referenced in number 3 of the membership category (i.e. business card contact information) is collected for the purposes of promotion of events both in terms of attendance and sponsorship.

In addition to attendee and sponsor information, the Wainwright & District Chamber of Commerce does collect and retain information on its finalists and recipients of the Wainwright & District Chamber of Commerce Small Business Awards. The information collected is limited to contact information (as referenced in number 3 of the membership category), in addition to a submission for the awards, which include a description. . This information can be shared with a number of sources including the judges of a category and media. The Wainwright & District Chamber of Commerce does not provide this contact information to sources seeking to advertise or solicit business from these finalists and recipients.

Board Members

The Wainwright & District Chamber of Commerce collects and retains both personal and business information on its current and past Board members for historical purposes. These individuals may be called upon for attendance at our events, interviewed for historical purposes, and to be discussed in the context of the Wainwright & District Chamber of Commerce’s history. For these reasons, the personal and/or business information of ACC Wainwright & District Chamber of Commerce’s current and past Executive Committee will be kept on file indefinitely. This information includes the following: contact information (personal and/or business) and biographical information including accomplishments and experience.

Current Board biographical information and photos are also provided on our website for interested parties including media, government and the like.

Staff and Contract Employees

“Personal employee information” is personal information collected, used or disclosed for the purposes of establishing, managing or terminating an employment relationship. We can collect, use and disclose this information without consent but we will only collect, use and disclose the personal information that is necessary for the purpose of administering the employment relationship. “Personal employee information” may include the following: name, home address and phone number, employment history, disciplinary record, medical information or disability, social insurance number, age, wage or salary paid, sex and marital status.

In administering the employment relationship we may use this information to perform tasks such as providing benefits, paying wages and generally managing the workplace.

We will not disclose personal employee information to any other third party unless we provide our employees with prior notification.

Our personal employee information is safeguarded to prevent unauthorized access, use and disclosure.

Résumés

Résumés of both current employees and applicants for positions with the Wainwright & District Chamber of Commerce are kept on file in paper format. These résumés are not provided to anyone outside of Wainwright & District Chamber of Commerce staff and management for review. They are kept on file strictly for purposes of future opportunities within the Wainwright & District Chamber of Commerce office.

Use of Anonymous Logs

Visits to this site are recorded for statistical purposes, only. Anonymous logs record certain information relating to website traffic, including IP Address, operating system and browser type, as well as date, time, referring site and pages visited.

These details are used for compiling generalized and anonymous statistics and are never disclosed or used in any other way. No uniquely identifiable user information is gathered. The information is used for performance analysis only, and to aid us in delivering quality content to our visitors.

Anonymous logs are gradually discarded over time and are never shared. Wainwright & District Chamber of Commerce has no third-party affiliations, and does not leave tracking cookies.
